    Set up the AI voice receptionist

    An AI receptionist answers your phone line 24/7 in your company's voice: it answers questions from your own knowledge, transfers callers to the right team member by name or role, captures new owner leads into your pipeline, and texts callers a booking link when nobody can pick up.

    1. 1Open Operations → AI Voice Receptionist and switch to the Settings tab (admins only).
    2. 2Under Set up voice line, pick which of your phone numbers the AI should answer and give the agent a name (this is the name callers hear).
    3. 3Click Provision agent — this creates your dedicated voice agent and connects it to the number. It starts DISABLED so it never answers real callers before you're ready.
    4. 4Review Transfer targets: every team member with an active line is automatically transferable by name. Callers can also ask by role — 'sales', 'a contractor question', 'the bookkeeper' — and reach the right person based on each member's job title.
    5. 5Optionally paste your own script into Agent instructions — the agent follows it word for word. Transfer rules and safety rules (never invent facts, never quote pricing you haven't set, never promise a transfer it can't make) are always enforced on top, so a paste can never break transfers.
    6. 6Flip the line to Enabled and call your own number once: ask a question, then ask for a team member by name to confirm the transfer rings them.

    Provisioning does not put it on the phone. It waits, switched off, until you have read the transfer targets and called the number yourself.

    If something's off

    • If the agent answers but says it can't transfer to someone — that person has no active phone line yet — assign them a line under Team settings and they become transferable within minutes, no other change needed.
    • If a caller wants property management and nobody answers the transfer — nothing is lost: the caller is saved as a lead in your pipeline, a missed-call entry with their details lands in your inbox, and they're texted your discovery-call booking link automatically.
    • If you want different behavior per line (e.g. a guest line vs a main line) — set up each number as its own voice line — each has its own greeting and its own Agent instructions.
    • If the line stops answering — the built-in watchdog checks every 10 minutes (credits, number wiring, agent health) and emails your admin the moment something breaks.
